Keynotr lets speakers and trainers collect feedback from the people in their sessions. This page explains what data we hold, why, and what you can do about it. The short version: we collect what the survey asks for, use it only for what you agreed to, and never sell it or show you ads. Keynotr is run by Victor K., and you can reach us at hello@keynotr.com.

Two kinds of people, two roles

• Speakers have a Keynotr account. For account data (your email, brand settings and billing) we decide how it is used, so we are the controller.
• Attendees fill in a speaker’s survey. The speaker decides what to ask and what to do with the answers, so the speaker is the controller and Keynotr is the processor: we store and send that data only on the speaker’s behalf.

If you answered a survey

We store what you entered:

• your answers, including the score and any written feedback;
• if you gave them: your name, email, job title and organization;
• which boxes you ticked. All three start unticked.

Your details are used only for what you ticked:

• Email me the giveaway: we send that one email, in the speaker’s name.
• May contact me: the speaker sees your details and may get in touch about their work.
• May quote my feedback: the speaker may publish your written feedback with your first name, job title and organization, for example on their website, social media or their public Keynotr proof page.

Suggestions for improvement are shown only to the speaker, never in anything they publish from Keynotr. We do not store your IP address. To limit abuse we keep a one-way hash of it that can’t be turned back into the address. A small cookie on the survey page remembers that you have already answered, for 30 days.

If the speaker asks for an AI summary of a talk’s comments, the written comments (never your name or email) are sent to Anthropic to write it. If the speaker connects Keynotr to their own tools with a webhook, such as a CRM through Zapier, your answers and the details you gave go there too, under the speaker’s control.

To see, correct or delete your answers, contact the speaker. If you can’t reach them, email us at hello@keynotr.com and we will help.

If you are a speaker

We store your email address, the brand details and logo you upload, your templates and talks, the responses to your surveys and your plan. We use your email to sign you in and to send your reports and lead alerts, which you can switch off. Payments are handled by Polar, our merchant of record; we never see your card details.

As the controller of your attendees’ data, you agree to use it only for the purposes they ticked and to answer their requests about it. See the terms.

Who else handles data

• Our hosting provider runs the app and database (a single server).
• Resend delivers email (sign-in links, giveaways, alerts, reports).
• Polar takes payments as merchant of record; we never see card details.
• Anthropic writes comment summaries when a speaker asks for one; it gets the written comments only, never names or emails, and doesn't train on them.

We don’t sell data, and we don’t use advertising or third-party tracking.

Cookies

We use two kinds of cookie, and both are needed for the service to work: a sign-in cookie for speakers, and the “already answered” cookie on surveys. There are no analytics or advertising cookies.

How long we keep data

Survey responses stay until the speaker deletes the talk or their account. Deleting an account removes every talk, response, template, logo and giveaway file straight away. Backups roll off after 14 days. Polar keeps payment records as tax law requires.

Your rights

Depending on where you live, data protection laws such as Kenya’s Data Protection Act 2019 and the EU GDPR give you rights to see, correct, export and delete your data, and to object to how it is used. Speakers can export or delete everything themselves under Account. Anyone can email hello@keynotr.com.

Changes

If we change this policy in a way that matters, we will tell speakers by email before it takes effect.
